How To: File Sharing on 3DEXPERIENCE

File Sharing on the 3DEXPERIENCE® platform is simply done in several ways depending on your specific requirements and the permissions set by your organisation’s administrators. Here’s a general guide on how you can share data:

Adding users to the 3DEXPERIENCE Platform

The first option is to add users to your platform. You can then give them the level of access required. You would perhaps use this method to add contractors or external stakeholders to your platform. Some things to note:

  • You purchase licenses for external users – you own the licenses.
  • They get granted licenses from your pool.
  • You control their user permissions/ file access.
  • You can revoke licenses and re-assign if needed. Note: once granted, licenses are tied to that user for a minimum of 30 days before they can be re-assigned

This is done through the Member Control Center App in 3DEXPERIENCE, simply add users as external and assign them the roles needed.

Invite other 3DEXPERIENCE users to your tenant

This is for customers that work with other 3DEXPERIENCE users. If you already collaborate with other 3DEXPERIENCE users, you can invite them to your tenant without assigning them licenses from your pool. This only applies to certain roles such as:

  • 3DSwymer
  • Collaborative Industry Innovator
  • Collaborative Designer for SOLIDWORKS

Some additional notes for how this works:

  • You purchase licenses for your internal users. The external users purchase their licenses.
  • You invite users to your system without assigning them licenses from your pool. They can access the files in your system, by bringing their licenses.
  • You control their user permissions/ file access.
  • You can revoke licenses if needed and remove users.

This is done by giving the invited user roles but not assigning them, you can allow this type of invitation in the Members Control Centre Application:

When you want to invite external members, you can uncheck this option to prevent a role from being taken from your pool:

Customising access

By using the previous 2 options, users will be granted access to your platform, you can now customise their access by giving them access to certain types of collaborative spaces and defining what level of access they have.

There are 3 types of Collaborative spaces:

There are also 3 levels of access:

  • Contributor
    Can view the contents of any Collaborative Space the user has access to. Can open Parts, Assemblies, and Drawings in SOLIDWORKS as read-only. Cannot revise or change the maturity state of content. Cannot add documents to a Collaborative Space.
  • Author
    Limited to working with content in Private, In Work, and Frozen states from any Collaborative Space the user has access to, AND owns the content i.e. can open and edit files in SOLIDWORKS but cannot Release/edit Released content. Cannot revise Released or Obsolete content.
  • Leader/Owner
    Full control over content and workflow. Can edit, revise, Release, and make Obsolete content from any Collaborative Space the user has access to.

What if you just need to share files from the platform?

If you need to share model and drawing information with suppliers or customers there are 2 options. These do not require the receiver to have 3DEXPERIENCE licenses and you do not need to assign them any.

Share a package of your 3DEXPERIENCE files

This option allows you to share drawings, assemblies, and parts as a smart pack and go, just customise the sharing purpose column, package the content, and share over 3DDrive or via a folder on your PC. When the package is returned you can either choose to accept or refuse the modifications and re-save the files to the cloud.

Share a file via ‘Share a File’ tool in SOLIDWORKS

You can also share files via the ‘Share a file’ tool in SOLIDWORKS in the Lifestyle and Collaboration tab.

With a file open, click share a file and select a format:

You can either share via email or by sharing a link:

When you share this file via email, the receiver will receive an email letting them know. They can also use the sharing link. The shared file will appear in their internet browser:
